One Saturday sheet with gratuity, a gift card, a comp, and the deposit drawn as bars.

Restaurant Books CleanupA closeout where four numbers refuse to match

A composite Saturday. Not a client. The figures stay off the page.

Compare your Saturday

What is on the closeout, and what is not.

Picture a Saturday closeout with food, a mandatory gratuity over 20 percent, a gift card sale, and a comped soft drink. The deposit is smaller by a processor fee. The state alcohol forms, where the state has them, are still blank. The picture stops before a return is filed. There is no restaurant name, no city, and no invented total.

After the last guest leaves, the dining room is a cluster of piles on one bar. Several things happened in one night, and they do not become one number just because they shared a drawer. The quiet after close is the moment the four labels can be named. The emotion on this page is that quiet, the relief of seeing the piles before anyone calls them one sale.

Where the picture is allowed to stop.

The mandatory gratuity over 20 percent is a service charge, and a service charge is wages rather than a tip. The gift card sale does not become food. The comped soft drink is not a sale, and the syrup or the bottle can still be a purchase the house used up. The blank state alcohol forms are the open item.

The 10th is the written tip report date for anyone at 20 dollars or more. A state drink report, where the state has one, keeps its own date even if the bar line is zero. A composite can name the federal date. It cannot invent a dollar total and call it someone's Saturday.

The relief, when it comes, is the four labels agreeing on paper before anyone reopens a filed period. Breadth in this picture is seeing the gratuity, the card, and the comp on one night. The limit is refusing to treat a blank form as a filed one.

How one night becomes four labels.

Keep the food figure as the number that belongs on the sales tax return. Do not let the gratuity, the card, or the comp ride inside it. A mandatory gratuity over 20 percent is taxable on its own, and when it is a service charge it is wages rather than a tip. Those are two facts about one line, and neither fact turns the line into food.

Cash from the gift card is still owed to a future guest. Putting it in tonight's food makes Saturday look larger and moves the tax to the wrong day. The comped soft drink is not a sale. Tax can still sit on the syrup or the bottle as a purchase the restaurant used up. That purchase is a cost, not a guest check.

What reaches the bank is smaller by the fee the processor kept. That remainder will not equal the closeout, and it should not be asked to. The composite ends when the four labels have names and the state alcohol forms are still blank. A blank form is an open item. A zero that someone already filed would be a different paper.

Send a closeout that looks like this.

Name the Saturday line that fought the deposit. Leave the dollars for the call.
